We ensure quotations are requested for all works for our clients and are checked to ensure there are no hidden extras. All work on going and when completed is checked by our Property Agents prior to any payments being approved. Our company ethos driven by our directors is built on a history of fairness, value for money and a quality of service for all our customers no mater the size of the contracts or projects.[/x_accordion_item][x_accordion_item title=”Do you offer an emergency and out of hours service?” open=”false”]Yes we can offer Out-of Hours services to all Clients as part of their ‘Tailored Contract’.[/x_accordion_item][x_accordion_item title=”Are you insured?” open=”false”]Yes our insurance company is Zurich Insurance in Dublin[/x_accordion_item][x_accordion_item title=”How do you deal with complaints?” open=”false”]All complaints are dealt with promptly. The individual Property Manager for that project deals with the complaint in the first instance. If the complaint can not be resolved to the complete satisfaction, then the complaint and details are referred to our Directors where the appropriate Director will attempt to find a resolution. In the unlikely advent that the complainant still feels the complaint is not resolved to their complete satisfaction the matter than can be referred to our governing board The Property Services Regulatory Authority – PSRA (www.psra.ie ).

A full copy of all the complainants documentation and correspondence along with our Directors assistance will be fully available to PSRA to help resolve the matter.
[/x_accordion_item][x_accordion_item title=”How is the monies received from service charges dealt with and how is it administered?” open=”false”]We have a standard process for dealing with unpaid service charge fees for clients. We have a strict process of the issue of one invoice detailing service charges to each owner occupier or manager. If fees have not been paid within the requested period a reminder requesting payment is issued. Only after we have exhausted all avenues with the owner occupier or manager, we will pass this account to our legal team.[/x_accordion_item][x_accordion_item title=”How do you deal with payments to service contractors?” open=”false”]We pay all service contractors following completion and approval of their works according to their contract terms and conditions issued by Clients1st Contract Services. All invoices are paid 21 days following approval by our appointed Development Management Agent. All payments are issued from our Head Office either by E-banking or by Cheque. Under no circumstances is cash issued. Our accounts are signed off by-monthly by our accountants and audited yearly by a fully independent auditor.[/x_accordion_item][x_accordion_item title=”How do you deal with data protection?” open=”false”]Data protection is the means by which the privacy rights of the individuals are safeguarded in relation to the processing of their personal data. The Data Protection Acts 1988 and 2003, confer fights on individuals as well as placing responsibilities on those persons or organisations processing personal data.
Clients1st Property Managers and our staff are made aware of their responsibilities in particular to processing of personal data through internal policy documentation, appropriate induction training as necessary and the availability of an internal data protection policy that is relevant to the personal data held. We have certain key responsibilities in relation to the information which we process. These are summarised in terms of eight fundamental rules which we must follow.
The 8 rules of Data Protection we follow are –
1. We must obtain and process information fairly.
2. We must keep this only for one or more specific, explicit and lawful purposes.
3. We must use and disclose it only in ways compatible with these purposes.
4. We must keep it safe and secure.
5. We must keep it accurate, complete and up-to-date.
6. We must ensure that it is adequate, relevant and not excessive.
7. We must retain it for no longer than is necessary than for the purposes it is intended.
8. We must give a copy of his or her personal data to an individual, on request.
[/x_accordion_item][x_accordion_item title=”Do you charge to quotes or site visits?” open=”false”]All quotations for our Management Agent Services are provided free of charge. All quotations provided as your appointed Management Agent are included in our standard contract fee. We do not charge for any site visits and regularly carry our site visits to your development as appointed Agent both planned and emergency as required.[/x_accordion_item][x_accordion_item title=”Do you employ contractors directly?” open=”false”]All contractors must meet our procurement questionnaire detailing their commitment to health and safety, insurance details and compliance to carry out the work. All service contracts issued to contractors are carried out under a contract issued for their service.[/x_accordion_item][x_accordion_item title=”How are services contractors selected?” open=”false”]We operate an approved list of service contractors administered by our in-house Contract Services and Procurement Team. All approved contractors must complete our Procurement Questionnaire detailing their commitment to health and safety, insurance details and competence to carry out the works. We would generally propose a list of 3 approved contractors per service to our Clients for their approval. Following approval we invite contractors to quote for provision of the service. All contractors are reviewed mid-way through their contracts to ensure they are compliant with all their requirements under their contract. We regularly provide feedback to our Procurement Team on current contractors being used.[/x_accordion_item][x_accordion_item title=”How can you guarantee the best rates for selected services contractors?” open=”false”]Our Estimation and Tendering Departments are fully informed with the current market rates and issue ‘price watch’ guidelines and schedules to our procurement department on a bi-monthly basis. We provide feedback from all our departments back to head office no only to ensure you are getting the best price but a quality of service.[/x_accordion_item][x_accordion_item title=”Who manages the selected contractors and who checks their work?” open=”false”]Following contract appointment by our Purchasing Department, all contractors are managed and regularly checked by our Development Appointed Management Agent. Any contractor failing to meet the contract conditions relating to health and safety, quality or service is alerted immediately to our Estimation and Purchasing Departments for careful watching and possible stop on future appointment.[/x_accordion_item][x_accordion_item title=”How are services contractors paid and how do you deal with payments to service contractors?” open=”false”]We pay all service contractors following completion and approval of their works according to their contract terms and conditions issued by Clients1st Contract Services. All contractors who wish to be considered to be on our approved recommended contractor schedule can only do so by completion of our Health and Safety compliance documentation and provide us with conformation of insurance details along with evidence of competence in their chosen field of expertise.[/x_accordion_item][x_accordion_item title=”Can we continue to use our current contractors?” open=”false”]They will need to complete our Health and Safety compliance documentation and provide us with conformation of insurance details. Some of our best contractors have come from recommendations from our Client’s. As part of our contract with our Client’s we will be carefully monitor all contractors and provide feed back to all Clients.[/x_accordion_item][x_accordion_item title=”What do you mean by ‘Tailored Services’?” open=”false”]We tailor our services we provide to meet our Client’s requirements. All developments are different and all Client’s needs are different, we analyse both and submit a proposal for discussion based on discussions, site visits and budgets to our Client’s for their review. When all are happy we draw up a clear schedule of not only our services we are providing but also what is to be provided by service selected contractors complete with clear channels of communication. We believe in partnering with our Client’s t ensure they get the service they want.[/x_accordion_item][x_accordion_item title=”Do you use contracts for your services?” open=”false”]We tailor all of our contracts to meet our Client’s needs. We have a standard contract template based on The Property Services Regulatory Authority (PSRA/S43 Form D1-2012 Property Services Agreement for The Provision of Property Management Services) which following discussions and visiting our prospective Client’s properties is finalised for presentation for approval or amendment to by the prospective Client. When all parties are happy we draft a final copy of the contract for signing and issue.[/x_accordion_item][x_accordion_item title=”Do you charge VAT?” open=”false”]• Our Professional Property Management Agents and Commercial Facilities Services fees are charged at 23%
